This policy explains how Komuvo by Scalefort handles personal information when estates and their authorised users use our websites, applications, and services.

1. Who controls your information

Your estate generally decides why resident, visitor, guard, property, and operational information is processed and acts as the data controller. Scalefort processes that information through Komuvo on the estate's behalf. Scalefort is the controller for its own account, billing, security, support, and website information.

2. Information we collect

  • Identity and contact details, including names, email addresses, phone numbers, roles, and account identifiers.
  • Demo and sales enquiries, including estate name, location, approximate number of homes, operational priorities, and consent to be contacted.
  • Estate onboarding applications, including the residence, meter, employment, badge, or staff details requested by the inviting estate.
  • Residence and estate records, such as plot, meter, transformer, visitor, access, maintenance, and incident information.
  • Financial and transaction records, including wallet activity and provider references. We do not intentionally store full card credentials.
  • Technical and security data, such as IP address, device information, authentication events, audit logs, and cookie identifiers.
  • Support communications and preferences you provide.

3. How we use information

  • Respond to demo requests, tailor demonstrations, and follow up about adopting Komuvo.
  • Send onboarding applications to the named estate for approval and provision approved resident or guard accounts.
  • Provide, secure, maintain, and improve Komuvo.
  • Authenticate users and enforce estate roles and subscription features.
  • Process authorised payments, electricity purchases, visitor access, and operational workflows.
  • Send required security, credential, receipt, and final financial notifications, plus optional notifications selected by users.
  • Prevent fraud, investigate incidents, comply with law, and maintain audit records.

4. Legal grounds

Depending on the context, processing is based on performance of a contract, legitimate interests in delivering and securing the service, compliance with legal obligations, consent where required, or the estate's documented instructions as controller.

5. Sharing

We share information only as needed with the relevant estate and its authorised users, infrastructure and communications providers, payment and identity providers, professional advisers, authorities where legally required, and successor organisations during a legitimate business transaction. Service providers are required to protect the information they process.

6. Retention

We retain information for as long as needed to provide Komuvo, meet contractual and legal obligations, resolve disputes, prevent abuse, and maintain appropriate financial and security records. Retention periods vary by record type and estate requirements.

7. Security and international processing

We use access controls, encryption where appropriate, audit logging, tenant isolation, backups, and operational safeguards. No system is completely secure. Providers may process information in other countries subject to appropriate contractual and legal safeguards.

8. Your rights

Depending on applicable law, you may request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. Estate-controlled information should first be requested from your estate administration. We will assist estates with valid requests.

9. Children

Komuvo is not directed to children for independent use. Where an estate records information relating to a minor, the estate is responsible for having an appropriate lawful basis and limiting access.
